2. Eligibility

ApplyMate AI is intended for individual use by persons who are at least 16 years of age. By using our platform, you confirm that you meet this requirement. Each account is strictly for personal, individual use and may not be shared with or used by multiple people.

3. Account Registration and Responsibilities

You can create an account using your email address or by signing in with your Google account. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to provide accurate information when registering and to keep your account details up to date. If you suspect any unauthorized use of your account, you should notify us immediately at info@applymate-ai.com.

4. Acceptable Use

ApplyMate AI is provided for personal use to help individuals search for university programs and generate supporting application documents. You agree to use the platform only for its intended purpose and in a manner consistent with all applicable laws. You must not attempt to misuse, reverse-engineer, scrape, or otherwise exploit the platform or its underlying data. Each account is meant to be used by one individual, and ApplyMate AI reserves the right to restrict, suspend, or terminate access to any account where unfair or excessive usage patterns are identified.

5. Program Search and Matching

ApplyMate AI offers three program search modes: Preference Based Search, Preference Based Search with Eligibility Check, and Profile Based Search. Results are generated using AI and are based on the data we have collected from publicly available university sources. While we make every effort to keep program information accurate and up to date, we do not guarantee the completeness, accuracy, or currency of any program data displayed on our platform. You should always verify program details directly with the relevant university using the source links we provide. The list of universities covered by our matching service is available on our website and within the application.

6. No Admission Guarantee

ApplyMate AI is a search and matching tool only. We do not provide any guarantee, representation, or warranty that using our platform will result in admission to any university or program. Admission decisions are made solely by the respective universities and are subject to their own criteria and processes. Any program matches, eligibility checks, or recommendations provided by our platform are informational only and should not be relied upon as a guarantee of admission or eligibility.

7. Document Generation

ApplyMate AI allows you to generate supporting documents such as Statements of Purpose, Statements of Research, Admission Essays, and CVs using our AI-powered document generation feature. These documents are created based on the information you provide and are intended as drafts to assist you in your application process. You are solely responsible for reviewing, editing, and verifying the accuracy and suitability of any document before submitting it as part of a university application. We make no guarantee regarding the quality or effectiveness of generated documents in supporting your admission.

8. User Content and Profile

Any information you enter into your profile or provide during document generation remains yours. By entering this information, you grant ApplyMate AI a limited license to use it solely for the purpose of providing you with the services you have requested, such as program matching and document generation. We do not claim ownership of your content and will not use it for any other purpose.

9. Subscriptions and Payments

Access to program matching on ApplyMate AI is subscription-based. By subscribing, you agree to pay the applicable subscription fees. All payments are processed securely by Stripe, and we do not store your payment information. You may cancel your subscription at any time from your account dashboard. Cancellation stops future billing, but any remaining days in your current subscription period will not be refunded. For users based in the EU or UK, by purchasing a subscription or credits, you acknowledge that the service begins immediately upon purchase and you expressly waive your right to the 14-day statutory cancellation period under applicable consumer protection regulations.

10. Refunds

Our refund policy is governed by the separate Refund Policy document, which forms part of these Terms and Conditions. Please refer to the Refund Policy for full details on eligibility and the process for requesting a refund.

11. Third-Party Services

ApplyMate AI uses third-party services including OpenAI for AI-powered features and Stripe for payment processing. Your use of these services through our platform is subject to their respective terms and policies. We are not responsible for the availability, accuracy, or conduct of any third-party service.

12. Intellectual Property

All content, design, code, and materials on the ApplyMate AI platform, excluding user-submitted content and publicly sourced university data, are the intellectual property of Phebsoft LLC. You may not copy, reproduce, distribute, or create derivative works from any part of our platform without our prior written permission.

13. Disclaimer of Warranties

ApplyMate AI is provided on an "as is" and "as available" basis. We do not warrant that the platform will be uninterrupted, error-free, or free of harmful components. We disclaim all warranties, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement, to the fullest extent permitted by applicable law.

14. Limitation of Liability

To the fullest extent permitted by law, Phebsoft LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of ApplyMate AI, including but not limited to loss of data, loss of opportunity, or any outcome related to university applications or admissions. Our total liability to you for any claim arising from your use of the platform shall not exceed the amount you paid us in the three months preceding the claim.

15. Account Termination

You may delete your account at any time from the Settings section of your dashboard, which will permanently remove all your data. We reserve the right to suspend or terminate your account without notice if you violate these Terms and Conditions, engage in misuse or excessive usage of the platform, or if we are required to do so by law.

16. Changes to These Terms

We may update these Terms and Conditions from time to time. When we make significant changes, we will notify you via email or a prominent notice on the platform. Your continued use of ApplyMate AI after the updated terms have been posted constitutes your acceptance of the revised terms. The effective date at the top of this document will always reflect when the terms were last updated.

17. Governing Law

These Terms and Conditions are governed by the laws of the State of Delaware, United States, without regard to its conflict of law provisions. Any disputes arising from your use of ApplyMate AI shall be subject to the exclusive jurisdiction of the courts of Delaware.
